1. Booking Conditions
A £100 / $150 US deposit is required per booking, with full settlement of the balance to be received by the owners at least 8 weeks prior to departure. In the event that payment is not received by this date, we reserve the right to cancel your booking. You will be reminded (by email), 8 weeks before departure, that your balance is due.
Payments can be made by either a UK Sterling or US Dollar cheque or by electronic bank transfer. We also accept Paypal payments and credit cards through a Paypal account.
Receipts are provided for all payments made.
2. Cancellation Policy
In the event that you have to cancel your booking, the following will apply. The person who made the booking must confirm all cancellations in writing.
Cancellations received more than 8 weeks prior to your arrival at the resort incur the loss of deposit payment, but any balance payment received will be refunded (minus any reasonable costs incurred)
Cancellations received less than 8 weeks prior to your arrival at the resort or 'No Shows' will forfeit 100% of rental fee paid.
In the very unlikely event that we have to cancel your booking due to circumstances beyond our control we will endeavour to find suitable accommodation at the same resort, should you chose not to take the alternative offered we will refund only the monies paid for your booking, no other compensation will be paid. - this has, however, never been necessary up to now.
3. Security Deposit
Age Requirements: Guests must be at least 21 years of age to book a room at
Credit Card and Deposit Policy: A major credit card must be presented at check-in to cover any incidental charges. A preauthorized damage deposit charge of $200 will be completed at check-in, and cancelled after check-out subject to confirmation of no room damage or missing items.
Acceptable forms of payment: Bookings may be secured using a major credit card. At the resort, major credit cards, cash, and traveler's checks are accepted. Sorry, personal cheques are not accepted.
4. Safety
Use of the pools / jacuzzis and all other facilities at the resort is at your own risk. No diving is permitted and guests are specifically requested not to allow unsupervised children to use the pools / Jacuzzi areas at any time. You are responsible for the safety of all members of your party whilst at Bahama Bay Resort. We cannot accept any liability for injury, damage or loss caused by any reason or for any claim made as a result of this booking and/or your subsequent holiday. This condition applies to all guests included in the booking party and to any person visiting the property as your guest (subject to prior permission from the owners having been granted). We therefore advise all guests to have full holiday / vacation insurance.
Under no circumstances should chairs or other support devices be taken into the shower as this represents a significant safety risk. Guests should seek appropriate assistance from another member of their party or alternatively use the bathtub.
All appliances, T.V's, fridges, washing machines etc, are considered to have been be placed in their permanent position. The moving or re-positioning of any appliance can only be done by the management or owner. No responsibility for injury to the guest/s can be taken by the owner for any breach of this condition.
The condo is fully cleaned prior to your arrival, however, if during your stay a situation develops that may represent a hazard to yourself our a member of your party, it is your responsibility, and in your own interest, to rectify the situation (for example - spilt water on the floor in the bathroom or an item that has been disturbed and could be a cause for tripping over), or report it to reception immediately, as appropriate.
5. Security
Please ensure that all windows and doors are closed and secured when leaving the property for the day, or when unattended. Unless you have asked them to do so, (for the purposes of a 'mid stay clean'), cleaning staff will not need to enter the property until you have checked out. Do not allow access to the property by anyone other than a maintenance man (in the case of a fault that you have reported and he is therefore an invited party), or cleaning staff, where you have requested them as above.
While unauthorised access to the properties at Bahama Bay resort is very rare, it is best to be aware of such a possibility, just in the same way you would be at home in your own house. Please ensure you have adequate holiday / vacation insurance that covers your posessions, should the worst happen. We are not able to entertain claims for any items which go missing during your stay, in, or outside of our property. Should this ever happen, please report it to reception, and they will assist in notifying the police / sherriff. You are likely to need a police report to claim from your holiday / vacation insurance.
Please note though, we have never had a break-in so far, and would like to keep it that way!
6. Cleaning & maintenance:
Our condo is professionally cleaned prior to your stay - daily or mid week cleans are available for an additional charge - should you wish to take advantage of this service, simply advise the clubhouse at the time and pay the resort directly. You dont need to decide this before you arrive. The resort is responsible for maintaining our condos high standards, and our condo is professionally cleaned prior to your arrival, with newly laundered linen and towels supplied. It is managed by them, and maintained, at our expense, by them. Should you have any problems during your stay, please contact reception who will be able to assist you.
7. Insurance
All guests should be covered by travel insurance, which carries adequate protection against delays and cancellation. It must also carry adequate medical insurance for the USA.
Our insurance does not cover your personal possessions lost or damaged when on vacation, nor does it cover any costs you may incur if you have to cancel your booking. It is the responsibility of the party leader to ensure all guests on the booking form have adequate cover.
8. Liability
The owners and the management company accept no responsibility whatsoever for death, personal injury, accidents, loss or damage to persons belongings however caused. The use of the accommodation and all amenities including the pool and spa and resort amenities are at the users own risk.
Children must be supervised at all times by a responsible adult, ESPECIALLY WHEN USING THE POOL AREAS
We cannot accept liability for acts or omissions or of changes of third parties, such as Airlines, Car Hire companies etc. We can neither accept responsibility or liability for any accident, injury or illness sustained during your rental period, regardless of how it may occur. We cannot accept responsibility or liability for Integra Resort management ('bahama Bay resort') services or amenities that are not available during your stay for any reason.
9. Force Majeure
As with any other holiday, there are circumstances completely beyond our control, in which the property may not be available for your booking.
We cannot take any responsibility for, and shall not be liable in respect of loss or changes caused by force majeure. Examples of these circumstances (but not limited to) are destruction or severe damage to the property, strikes, fire, flood, hurricane, closure of airports, weather conditions, war, riots, terrorist activity or any other event beyond our control.
In the event of "Force Majeure" prior to your arrival, the owners will do their best to make alternative arrangements for you where possible, at the same resort. If they cannot or if the alternative arrangements are unacceptable to you, then they will refund all monies paid to them. This will be the full extent of the owners liability in such circumstances and the owners cannot be responsible for any other costs connected with any such cancellation, however arising.
In the event of "Force Majeure" while you are at the property (for example the airport being closed on your departure date) we recommend you contact your insurance company as soon as possible as they should be able to help you with alternate arrangements. We MAY be able to extend your stay in our property on a pro - rata basis, if no other guest is already booked into it. Alternatively there may be another property at the resort that you can stay in, at an additional nightly cost. We will endeavour to assist by liasing with the resort if required.
All advertised features are provided subject to availability. In the unlikely event a feature is unavailable for any reason (including but not limited to breakdown or damage) please notify reception immediately so they can arrange repair or reinstatement of the feature as soon as possible. This will be the full extent of the owners liability in such circumstances and the owners cannot be responsible for any other costs however arising.
10. Other Services
Long Distance Telephone Calls - each apartment has a private telephone, which is not connected to the central switchboard. Local calls have a switchboard connection charge, and all long distance calls will be charged to the credit card supplied at check in.
Entry of Premises - an authorized employee or repairman may enter the premises during customary business hours for any purpose connected with the repair, improvement, care, and management of the premises. The guests' permission will be sought prior to entry.
Non-Smoking: All buildings and guest units are non-smoking. Smoking is allowed in the outdoor areas only, such as certain common areas around the resort property, and the guest unit patios and balconies. When smoking on the outdoor patio and balcony areas, please keep the sliding glass doors closed to avoid smoke entering the guest unit. Smoking in guest units, or smoking on the patio and balcony areas that results in the guest unit smelling of smoke, will result in a minimum $250 additional cleaning charge being imposed by the resort management company.
Pets and Pet Boarding: Sorry, pets are not allowed at Bahama Bay. However, pet boarding is readily available at the Four Corners Animal Hospital, located on Highway US-27, about 5 minutes from Caribe Cove. For pet boarding inquiries, please call the Four Corners Animal Hospital during normal business hours at: (352) 242-1950. Bahama Bay is not responsible for any matters relating to pet boarding. Unauthorized pets at Bahama Bay will result in a minimum $250 additional cleaning charge being imposed by the resort management company and eviction from the resort. The no pets policy does not apply to service animals assisting guests with special needs.
11.Law
This contract is subject to and shall be construed in accordance with the laws of England and all parties hereby submit to the exclusive jurisdiction of the English courts.
We respectfully ask that you remember that our condo is private, family owned accommodation, and that you treat it with the same respect you would accord your own home.
Your booking is made on the basis that you accept the above terms & conditions.
